2016 – 2017 Program Stream Common Questions & Answers

 

1.  When is the due date? Where can I find the guidelines?

  • The due date is Friday, January 15th
  • You can find the guidelines on the PCA's website here.
2.  Where can I find out if I’m on the Interim or Full application? Why does eGrant list both applications in my account?
  • You can find this information in your original email from me. You can also find it in the PDFs on the right of this page.
  • eGrant lists both applications in your account because it’s unfortunately unable to provide the level of customization needed to list just the one application that applies to your organization.

3. What if I cannot remember my eGrant login?

  • Please contact Erin De Rosa at erind@philaculture.org if you cannot remember your eGrant login.
  • Do not create a new account

4. What if I’m having problems with eGrant?

 a.  Please contact Erin De Rosa at erind@philaculture.org if you are having general eGrant problems, such as:

  • login issues
  • an expired application due date
  • you’re unable to locate a Draft or cannot print your application

b.  You should contact the Pennsylvania Council on the Arts if you are having more complicated issues with eGrant, such as:

  • you’ve filled out your application and cannot find it in the History tab
  • you cannot upload supplementary materials
  • you’re unable to fill in application fields
  • Seth Poppy is the PCA’s administrator for eGrant, and you can reach him at spoppy@pa.gov

5. How do I submit work samples and other supplementary materials? Do I need to send copies to the Cultural Alliance?

  • You should submit your work samples and other supplementary materials by uploading them to the eGrant site
  • You will be prompted to upload these materials when you fill out your application
  • You do not need to send in hard copies of your supplementary materials

6. How do I know whether to fill out the PA Cultural Data Project (PA CDP) or the Financial & Statistical Report (F&S Report)?

a.  If you have audited figures for FY 2014 and 2015, you should fill out your PA CDP.

  • Use the report that the profile generates for your Program Stream application

b.  If you do not have audited 2015 numbers, you should fill out the PCA’s Financial & Statistical Report.

  • First, complete your 2014 CDP profile using your 2014 if you haven’t already.
  • Next, use the report generated by the CDP to complete the F&S report here.
  • You should use these 2014 CDP numbers as well as your 2015 proposed budget & year-to-date budget to estimate 2015 figures on the F&S report if your 2015 fiscal year is not yet complete.

c.  If you are an arts program within a larger organization and your parent organization completes the PA CDP for their entire budget, then you only need to complete the PCA’s Financial & Statistical Report as it relates to your arts programming for FY 2014 & 2015 (you should use your 2014 figures to estimate FY 2015 figures as referenced in B. above).

***Note that if you fill out the F&S report for the application, you will need to complete your CDP report once you have audited figures for FY 2015.

7.  Do we need to send in hard copies of the application, CDP, or the F&S Report to the Cultural Alliance?

  • Yes, please send in:
  • 2 signed copies of your application &
  • 2 copies of either your CDP Profile OR your F&S Report
  • Send both copies to:
