Institutional Giving Coordinator

Primary Duties and Responsibilities: 

The Institutional Giving Coordinator supports fundraising efforts through gift acknowledgements, stewardship, data management, and prospect identification and research. S/he assists with the execution of day-to-day operations of the External Affairs Department, providing high quality support to the institutional giving team. S/he will also work with the Assistant Director of Corporate Giving, providing high quality support to the Executive Corporate Board and the Awards Corporate Committee. Coordinate all mailings conducted by the team including corporate membership acquisition, Philadelphia Science Festival sponsorship, and Awards corporate committee, sponsorship and Laureate mailings. Assist with proposals, grant and lobbying reports and benefit fulfillment reports as needed. Handle gift processing and generate acknowledgements for all corporate and government-related gifts and pledges. Maintain integrity of the Raiser’s Edge database which includes updated biographical information and contact structure; uploading research profiles, acknowledgements, proposals, and financial information; managing new and change of addresses; inputting new prospects; and ensuring all proposals and asks are entered. Maintain ongoing list of corporate prospects utilizing a multitude of resources, including the Internet, Chamber of Commerce/Book of Lists, Development files, periodicals, professional contacts, and staff and volunteer input. Assist with meeting/leadership prep documents for the team. Compile research reports on corporate or government prospects as requested. Assist with fielding incoming calls to the External Affairs Department and monitoring the Corporate Giving general e-mail inbox. Submit expense reports on behalf of the team. Assist with planning and implementation of events, providing on-site management for weekend and evening events as necessary. Interact with donors in a professional and helpful manner; assist with and provide concierge services for donors and prospects as necessary.

 

Minimum Qualifications: 

A Bachelor’s degree from an accredited college/university and 1-3 years related experience, or an equivalent combination of education and experience, are required. To be successful, the Institutional Giving Coordinator must be able to perform each essential duty satisfactorily. Strong verbal communication skills and ability to communicate clearly with co-workers, donors, and organization leaders a must. Experience in customer service setting preferred. Must be extremely detail-oriented, organized and able to multi-task and prioritize requests from multiple people in a timely manner. The Institutional Giving Coordinator must have a sincere interest in philanthropy and stewarding donor relationships and investments, and a desire to work in a donor-centered culture that produces information, materials, and constituent experiences of the highest quality. Some evenings and weekends may be required. Strong computer skills, with proficiency in Microsoft Office Suite, and experience with Raiser’s Edge or similar database preferred.

 

Full-time, 37.5 hours per week.  Some evening and weekend hours required.
