Operations Manager

The Operations Manager is the primary support role of the Philadelphia Folksong Society and is responsible for the oversight of all contracted teaching staff and artists related to the Society and the Philadelphia Folk Center.

The position reports to the Executive Director (ED).

The Operations Manager is responsible for providing effective and efficient scheduling, planning, and fiscal administration for the Society, in order for it to consistently achieve mission and programmatic success.

The position maintains standard work week hours; however, it requires some evening and weekend work, especially leading up to and during the annual Philadelphia Folk Festival.

Responsibilities:

  • Provide executive-level support as required by the Executive Director.
  • Oversee all contracted teaching staff and artists regarding contracts and activity.
  • Work directly with Executive Director to ensure timely execution of invoices and receipt of payables.
  • Manage timely submission of all required files, documents, and contracts
  • Manage the logistics and scheduling of all production aspects of all the Philadelphia Folksong Society’s programs, individually and with program chairs, including but not limited to monthly concerts, house concerts, member meetings, SINGs, jams, lessons, workshops, master classes, Philadelphia Folk Center events and programs, and seasonal retreats.
  • Administer files related to all Society programs.
  • Initiates, coordinates and/or participates in all efforts to publicize Society events and programs
  • Prepare budgets and event and program reports to ED and board for each event and program.
  • Conduct program and event follow-up including expense claims and invoices.
  • Manage relationships with Philadelphia Music Co-op artists and venues and act as a resource for the Co-op at all times.
  • Aid in Philadelphia Music Co-op artist development through planning seminars, events, workshops, and gigs for Co-op artists.
  • Develop and maintain key relationships with extended Philadelphia music industry community.
  • Implement and maintain effective communication with the all staff.
  • Assist in the development of programs that result in increased customer satisfaction, revenue, and achievement of the Society’s mission.
  • Represent the Society at local and regional events.
  • Ensure ED and board are aware of all organization and program timelines, obligations, opportunities, and deadlines.
  • Perform other duties as assigned.

As part of a limited team all employees of the Philadelphia Folksong Society are expected to support the organization in a team approach, lending support as needed to projects and activities that may not fall within the described scope of the position. These additional duties, and any revision of this job description are at the discretion of the Executive Director.
