Program Manager - Garden State Girlchoir & New Jersey Boychoir

Commonwealth Youthchoirs(CY) seeks a part-time Program Manager for Garden State Girlchoir (GSG) and New Jersey Boychoir (NJB)

The Program Manager (PM) is the primary liaison between the organizations and the families, and the main staff person responsible for logistics at rehearsals and performances. The Program Manager works closely with the CY Director of Program and Artistic Director, the CY Managing Director, applicable CY Conductors, as well as other CY staff.

Position is for approximately 24 hours per week, 

Commonwealth Youthchoirs (CY) is the 501c3 that administers six choral education programs for young people: Pennsylvania Girlchoir (PG), Keystone State Boychoir (KSB), Garden State Girlchoir (GSG), New Jersey Boychoir (NJB), Find Your Instrument! (FYI!), an outreach program in underserved schools, and Good Mornin’ Music! (GMM), an early music education experience for children in Pre-K through grade two.

Parent Interaction and Communication:

  • Assist with the maintenance of the calendar and schedules;
  • Assist with upkeep of mailing lists and maintain the choir database;
  • Manage parent volunteers for Program-specific committees (office help, attire, recruitment, attendance and calendar managers, group managers)

Rehearsal and Performance Management

  • Provide support and assistance to the choir music conductors;
    • Rehearsal Set-up and Break-down
    • Maintain Seating charts & nametags
    • Assist with oversight of absence forms and attendance policies
    • Assist with organizing and compiling the season’s music binders
    • Collection and distribution of music
    • Record keeping of binders and music
    • Maintain extra music
  • Assisting with administrative details of concerts, run-out performances, and special events;
    • On-site visit (walk-through) of performance venues;
    • Providing logistics for run-outs;
    • Assist with information and data post performance for DataArts (form provided)

Auditions/Recruitment

  • Compile PR packets for prospective parents;
  • Assist with “Bring a Friend” or open rehearsal day
  • Assist with the creation and distribution of choir recruitment advertising materials
  • Post on social media outlets about upcoming events
  • Assist with re-auditions or hearings for current choir members

Administrative and office responsibilities include, but are not limited to:

  • Assist with compilation of
    • All singer information forms
    • Choir handbook
    • Database update and management
    • Choir roster for choir staff and CY staff
  • Attendance at meetings, GSG/NJB and/or CY program staff meetings/phone calls
  • Receive payments from choir parents and process per the cash handling policy
  • Serve as a resource for the CY bookkeeper regarding families and choir members
  • Keep choir information updated in all printed materials and online sources
  • Provide information as needed to CY office for concert programs; assist in proofreading choir specific sections
  • Maintain and grow social media presence
