Administrative Assistant - Arthur Ross Gallery

The Arthur Ross Gallery seeks an Administrative Assistant to join our team and support the production of 3-4 exhibitions per year with a robust schedule of related programming. Located at the heart of the University of Pennsylvania’s campus, the Arthur Ross Gallery is an intimate exhibition space that presents exhibition of art across cultures, media, and time. The mission of the Arthur Ross Gallery is to engage, educate, and inspire audiences.

The Administrative Assistants’ duties include providing administrative support to the Director, Assistant Director/Curator, and Assistant Director of Development and Marketing; maintain office equipment and supplies; schedule meetings; maintain filing system; coordinate the gallery’s elementary school educational outreach program;  assist with the annual membership drive and program; perform financial duties, including but not limited to create requisitions and purchase orders and processing invoices.

Qualifications

A High School Diploma or GED is required, Bachelor’s degree preferred and 3 years to 5 years of experience or equivalent combination of education and experience is required. Candidates must be able to demonstrate excellent oral and written communication skills and the ability to work independently and collaboratively as part of a goal-oriented team. Strong administrative experience. Experience with Penn’s financial systems (BEN Financials, Concur, PennWorks applications) as well as Microsoft Office highly preferred. Experience with updating and editing Wordpress preferred; Ability to travel and work evening/weekends as required.
