Production Coordinator

The Production Coordinator is year-round, full-time position providing logistical and administrative support for a wide range of activities overseen by the Department of Artistic Programs and Performance (DAPPs). Curtis has a robust performance calendar and the PC plays an integral role in ensuring that each event meets the standard of excellence associated with the Curtis Institute of Music. The PC will find themselves at the heart of the school’s performance curriculum, with regular involvement in recitals, master classes, orchestra, outside engagements, and Curtis Summerfest. This position receives guidance from and reports to the Director of Recitals and Master Classes.

 

Essential Functions:

Recital and Master Class Production

  • Oversight of backstage and front of house operations for Curtis recitals and master classes, including occasional public announcements
  • Management of the student recital crew, including recruitment, hiring, training, scheduling, and payroll
  • Coordination and supervision all instrument moves not associated with orchestral services
  • Communication with Senior Director of Facility Operations for staging and seating needs using SocialTables software and/or other floor plan documents
  • Coordination and production planning for dress rehearsals, sound checks, technical rehearsals, and performances by the Curtis 20/21 Contemporary Music Ensemble
  • Proctoring master classes and providing on-site support for visiting guest artists
  • Scheduling of part-time staff supervisors for recitals and master classes

 

Outside Engagements

  • Acting as primary point of contact and facilitator for student recital engagements outside of Curtis that do not fall under Curtis on Tour or community outreach, including bookings, contracts, travel logistics, and payroll
  • Handling of all outside engagement records, as well as a database of eligible performers, and dissemination of reports to relevant Curtis staff

 

Departmental Support

  • Backstage management of Curtis Symphony Orchestra performances, including calling the show and liaising with Curtis and venue staff
  • Occasional travel with the Curtis Symphony Orchestra on tours
  • Support and hospitality for all visiting guest artists, including hotel bookings, contracts, itineraries, payments, and transportation (requires a valid driver’s license)
  • Departmental budget coordination with Senior Vice President of Artistic Operations and handling of budget accounting as needed in conjunction with the Curtis Business Office
  • Scheduling coordination with the Director of Audio Engineering, as needed
  • Support and hospitality for all Summerfest Faculty including contracts, housing and travel arrangements, and payments while working closely with the Summerfest Manager

 

Qualifications:

The candidate should be prepared to work in a fast-paced environment, both in and out of the office, while maintaining a strong adherence to punctuality, deadlines, preparedness, attention to detail, and flexibility. We are looking for someone with:

  • initiative for autonomous problem solving, while still being able to work as part of a team
  • good communication skills, both written and verbal
  • capacity to supervise up to five student workers at a time
  • knowledge of classical music (preferred, but not required)
  • comfort around patron engagement
  • discretion when dealing with sensitive information
  • familiarity with standard office software such as Microsoft Office and Adobe, as well as the ability to learn specialized programs such as OPAS and Asimut

Working Conditions/Physical Demands:

  • Routine for office environment
  • Some light physical labor involving instrument moves and concert hall setup, with lifting unlikely to exceed 20-25lbs
  • Must have a valid driver’s license
  • The employee will be required to perform the essential functions of the job during evening and weekend hours
