Office & Visitor Services Coordinator

The Friends of Laurel Hill Cemetery has an exciting opportunity for a full-time Office & Visitor Services Coordinator. The Friends group, a 501(c)(3) non-profit organization, is dedicated to preserving, protecting, and promoting the visual and historic character of Laurel Hill Cemetery, the first National Historic Landmark cemetery in the country. Working with both Laurel Hill and West Laurel Hill Cemetery Companies, the Friends produces educational, recreational and entertainment programming at both sites and raises money for preservation, operations, and special project support. The Friends of Laurel Hill Cemetery is currently in the process of expanding to become the Friends of Laurel Hill and West Laurel Hill Cemeteries.

Job Summary:

The Office & Visitor Services Coordinator will provide overall administrative support to the Executive Director and staff of the Friends of Laurel Hill & West Laurel Hill Cemeteries. This position is integral to the successful operations of the Friends and the primary responsibilities of this job include, but are not limited to being the point of contact for all visitors and callers to Laurel Hill and ensuring they receive the highest level of customer service; ordering supplies and keeping the office sufficiently stocked; gift shop sales; updating the website; assisting with coordination and logistics for and being present at special event, tours, and programs for the Friends.

Essential Functions:

  • Provide customer service as needed for visitors, telephone inquiries, program attendees and lot holders.
  • Provide overall administrative coordination for the office, including for the Executive Director and Manager of Programs & Civic Engagement.
  • Provide administrative support for the organization’s fundraising and programmatic activities and assist with executing and planning programs and tours.
  • Maintains a clean and accurate constituent database for use by all staff.
  • Assist with financial reconciliation of the Friends expenses and revenues.
  • Participate in the planning and execution of the organization’s annual fundraising events.
  • Assist with monthly e-newsletter and other electronic communications including social media (Facebook; Twitter; Instagram)
  • Oversee the stocking, selling, ordering and inventory of merchandise for the cemetery’s office and online stores.
  • Maintain an overall organized and welcoming office environment.
  • Work with the Friends of Laurel & West Laurel Hill Cemeteries to support their mission.

 

Qualifications:

The successful candidate will possess strong verbal, written and interpersonal communications skills for engaging with visitors, staff, volunteers and vendors. S/he should demonstrate excellent organizational skills and passion for and commitment to the work of the organization. A Bachelor’s degree and minimum of three years of experience in the cultural, educational, hospitality or historic sector are required. Must have a valid driver’s license and excellent computer skills (including Excel, Word, Adobe Creative Suite, and major social media platforms) and the ability to lift up to 30 lbs. Evening and weekend hours are required.
