DEPARTMENT:  Film & Video and Writing for Film & Television

REPORTS TO: Program Director for Film & Video, Program Director for Writing for Film & Television

Summary: The Film & Video and Writing for Film & Television programs at the University of the Arts are looking for a part-time administrative assistant to help with day to day functions plus aid in the development of new initiatives within curriculum, recruitment and community relations. 

 

The administrative assistant reports directly to the Film & Video and Writing for Film & Television program directors, providing organizational and administrative support to their respective majors. Administrative assistants provide front line communication with students, faculty and staff within the program. They also communicate with vital constituents outside the department including prospective students, upper administration and industry professionals. 

Essential Duties & Responsibilities:

  • Supports and assists the Directors, faculty and students within the Programs
  • Schedules and arranges all meetings and travel for the Directors
  • Acts as a receptionist for both Programs
  • Maintains Program records and files, including student and faculty files. Handles these in a confidential way when necessary, and adheres to FERPA regulations
  • Maintains schedules for faculty and mentors in the Programs. Coordinates advising schedules
  • Updates course offerings information
  • Procures and purchases with University credit card and prepares purchase orders, reimbursements, and check requests
  • Assists the Directors in the preparation and monitoring of Program budgets
  • Provides assistance with the Programs’ special events, trips and meetings
  • Reserves spaces and technical equipment, as necessary, for special events and communicates details and updates as needed to the University community
  • Interviews, selects, trains and supervises student workers
  • Assists in the recruitment of faculty through the organizing of Search Committees, etc.
  • Provides new faculty with administrative orientation
  • Assists in the preparation of reports or special projects

Education:

  • Bachelor’s degree in Film or related field preferred

Experience:

  • 1-3 years office experience preferred

Competencies, Knowledge, Skills & Abilities:

  • General Knowledge of office support software, primarily: Microsoft Word, Excel, Power Point, Google apps 
  • General Knowledge of Adobe Creative Suite - Adobe Premiere and some Photoshop skills
  • Good design sense for making clear and visible posters to announce student screenings and visiting artists
  • Strong communication skills: written and oral; excellent phone manner
  • Capable of maintaining or supervising the input of information in institutional databases, including but not limited to budgets, prospective student lists, communications documentation
  • Capable of handling day-to-day operation of the Program(s), frequently working directly with the Director(s)
  • Organized, proactive and self-motivated - work as part of a team and able to manage competing priorities. A good candidate will be able to anticipate each program’s needs 
  • Diplomatic, able to deal tactfully and courteously with students, applicants, faculty, University staff and administrators from Facilities to the President's Office
  • Enthusiastic and passionate about film!
