Controller

The Fabric Workshop and Museum (FWM)—an internationally acclaimed contemporary art museum devoted both to the creation and presentation of innovative works of art in Philadelphia—seeks a full-time Controller. This position will prepare FWM’s monthly financial reporting package, and provide financial statement analysis, budget, and audit support. The Controller reports directly to the Associate Director for Administration and works closely with the Executive Director.

RESPONSIBILITIES

  • Manages all accounting functions, including but not limited to accounts receivable, accounts payable, payroll, and purchasing.
  • Reviews, evaluates, and implements organizational and accounting systems, policies, and procedures.
  • Performs the month-end close process, including reconciliations and account reviews (banks, petty cash) to ensure timely and accurate financial statement reporting.
  • Prepares monthly financial statements and related reports, including but not limited to balance sheets, income statements, cash-flow reports, budgets, and variance analysis.
  • Submits reports to and reviews with senior management.
  • Working closely with the Associate Director for Administration and Executive Director, develops annual budget.
  • Reviews budget proposals from department heads and prepares necessary supporting documentation and justification for proposed budgets.
  • Provides senior management and FWM Board with timely reviews of the organization’s financial status, forecasts, and pro-formas.
  • Works closely with Development to: enter donations and foundation awards; maintain copies of all grants and receivables; prepare specialized grant reports; and ensure that financial reporting requirements of funders are being met.
  • Ensures compliance with statutory payroll and property tax reporting.
  • Monitors receivables to ensure credit risk is mitigated.
  • Oversees accounts payable function, including but not limited to compliance with expense reporting, capitalization policy, and purchase order procedures.
  • Updates the Net Asset Roll forward quarterly.
  • Oversees and manages the preparation of the annual independent audit (including fieldwork and post-fieldwork) and annual federal and state tax documents.
  • Completes light human resource duties related to enrollment of employer sponsored health insurance plan and execution of retirement savings plan.
  • Monitors, responds to, and distributes incoming and outgoing communications to the Finance Office.
  • Participates in FWM board and finance committee meetings to assist senior management in the presentation of monthly financial statement reports
  • Performs other related duties as assigned by management.

QUALIFICATIONS

  • Bachelor’s degree (B.A.) in accounting.
  • Four to six years professional experience required in controllership, bookkeeping, and/or accounting.
  • Demonstrated proficiency in non-profit accounting management at one or two institutions.
  • Working knowledge of QuickBooks and Office 365 (particularly Excel).
  • Experience learning new computer/technical skills as well as changing software platforms a plus.
  • Demonstrated knowledge of financial reporting, forecasting, and audit support.
  • Superior attention to detail, with excellent analytical and problem-solving skills; ability to manage priorities and workflow.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
  • Ability to collaborate and communicate effectively with co-workers and all levels of management.
  • Handles highly sensitive and confidential matters and information with utmost discretion.
