Donor Relations & Event Coordinator

Job Description

Primary Function: Coordinates and executes audience cultivation, stewardship, solicitation and development activities designed to deepen donor engagement through events and other initiatives.

Position Relationships:
The Donor Relations & Event Coordinator reports to the CEO to accomplish the organization’s goals for individual support especially through Trustee & Major Donor relationship building.  This position will work with program, marketing and development team members to generate support for core programs and general operating.

Qualifications:

  • 4-year degree, preferably in communications, public relations, art history, or arts administration.
  • A strong understanding of and passion for contemporary art and community engagement.
  • Detail oriented with superior communications skills and excellent writing abilities.
  • Ability to establish priorities, work within deadlines, multi-task, and organize.
  • Ability to thrive in a fast-paced setting while maintaining precise attention to procedures, priorities, details and quality.
  • Self-reliant and motivated while also able to work collaboratively in a team.
  • Strong computer skills, comfortable with CRM databases (familiarity with Sales Force is required. Knowledge of MS Office, Constant Contact/Mail Chimp).
  • Understanding of the need for confidentiality regarding donor information.
  • Available and reliable transportation to and from the workplace
  • 2+ years' experience in communications, public relations or membership / development.
  • Ability to work positively and effectively with team, external partners and media/corporate community.

 

Essential Functions:

  • Develop and assemble proposals and reports for prospective donors.
  • Identify and research possible donors and investors.
  • Assist the CEO in cultivating and managing relationships with event partners, key individuals, major donors, Trustees and PPAC’s Advisory Council.
  • Coordinate and implement appeals for donations, primarily the Annual Appeal.
  • Draft solicitation proposals, correspondence, gift agreements, pledge reminders and gift acknowledgments.
  • Assist in planning and execution fundraising events.
  • Work with marketing and development team to implement mailings, social media and email communications for events and appeals.
  • Management of organization’s database including inputting information, information analysis, generation of reports, gifts processing, support for solicitation and marketing campaigns, and customer assistance organization wide.
  • Manage and track donor and event revenue and review of expenses, income and goals to achieve growth goals; produce quarterly donor and event reports and updates.
  • Schedule and provide support to the CEO for all Board, Committee, Advisory Council and Major Donor meetings including writing proposals, agendas, reports and follow up communication.
  • Perform other related tasks and responsibilities as necessary.

 

The position requires the ability to work some evening and weekend hours.  This position will work in a hybrid model with part in person and part remotely.
