Community Initiatives Coordinator

Type of Employment: Part time, hourly, 16 hours per week

Compensation: $25.00 per hour

Anticipated weekly work breakdown: 4-hours Dress rehearsal program, 5-hours T-VOCE, 5-hours Backstage Pass, 2-hours administrative

Reports to: Director of Community Initiatives

Responsibilities:

Administrative

  • Maintain Tessitura databases for out of school-time programming (T-VOCE and Backstage Pass Programs) plus Dress Rehearsal program
  • Coordinate all recruitment for out-of-school-time programming
  • Assist at Community Engagement Committee meetings and other meetings as needed

Education Program Coordination

  • Schedule all teaching artist and professional development sessions
  • Procure T-VOCE and Backstage Pass meeting venues as needed
  • Assist with dress rehearsal communication with Academy of Music staff and security, bus services, and traffic police
  • Organize catering and other food items for meetings and outreach programs

Community Programs

  • Maintain a database of community collaborators
  • Collect data for foundation reporting
  • Represent Opera Philadelphia at community and company events as needed
  • Assist in the development of community engagement strategic plan

Skills Required:       

  • Ability to multitask and prioritize jobs as they arise in order of importance while meeting deadlines
  • Superb organizational skills with a high level of accuracy and, attention to detail
  • Responsible, able to work independently with little supervision and as a valuable team member
  • Excellent interpersonal, written and verbal communication skills
  • Excellent proofreading skills
  • Strong computer skills, especially in MS Office and Excel, and ability to learn computer programs quickly
  • Proficiency in Tessitura, Activity, and/or Wordfly software systems highly desirable

Job Requirements:

  • 2 years’ administrative assistance experience required preferred
  • Must be available to work nights and weekends as needed

Opera Philadelphia is seeking a Community Initiatives Coordinator to provide administrative support for the Community Initiatives Department with a focus on database management, constituent communications, community research, and assistance with the T-VOCE, Backstage Pass, and Dress Rehearsal programs.
