Scout is the urban design and development practice currently leading the redevelopment of the iconic Bok building in South Philadelphia into a creative hub for innovators, artists, makers, entrepreneurs, community services. Today the 340,000 square foot building is filled with over 200 businesses, makers, creatives, and community services and draws over 250,000 visitors annually to visit events, food & beverage options, and happenings within the building. POSITION SUMMARY

Scout is looking for a detail-oriented, personable and highly professional Leasing & Property Management Admin to join our team at BOK. The position will work closely under our Leasing Director and Property Management & Operations Director to ensure that BOK’s leasing goals and property management objectives are well supported.

This role requires strong customer service skills, a highly personable demeanor and confidence in engaging with a variety of internal and external community members — from tenants to neighbors to contractors to utility suppliers and beyond. The ideal candidate is an individual who demonstrates a strong ability to handle multiple tasks simultaneously, enjoys problem solving and acts with tact and diplomacy, and has excellent written and verbal communication skills. We are a small, entrepreneurial, energetic team and therefore looking for someone who appreciates a fast-paced, start-up working environment and has the ability to remain highly organized in such a setting. Previous property management, communications and/or administrative experience is strongly preferred.

ESSENTIAL FUNCTIONS

  • Support Director of Leasing with leasing program and goals by:
    • updating and maintaining CRM system and property management software records
    • corresponding with prospective tenants and giving tours
    • drafting lease proposals and lease agreements
    • assisting with tenant onboarding and move-outs
    • assisting with reporting and other leasing admin as required
    • coordinating development of leasing materials as needed
  • Support Director of Leasing and team with tenant relationship management by:
    • managing up-to-date tenant listserv and coordinating tenant communications (drafting and sending building notices and alerts as needed; fielding general inquires and facilitating ad-hoc requests; facilitating community chats to provide project updates and coordinating any required follow-ups)
    • updating tenant and leasing pages of website as needed
    • tracking current tenant lease terms, renewals, turnover, etc. and provide date for reporting purposes
    • managing distribution of relevant surveys; analyzing results and providing reports
  • Support building operation and property management:
    • tracking administrative renewals such as permits, certifications, and inspections
    • reviewing current security and access control systems and related equipment on a quarterly basis
    • coordinating data collection, analyzing results and generating reports related to building occupancy and demographics as required for financing (e.g. annual NMTC reporting) and otherwise
    • overseeing building signage to support tenant and visitor navigation through building and property management-related updates

 

REQUIREMENTS

Candidate should have a minimum of three years work experience in property management, leasing or office management and have the professional confidence and tact to interact and work effectively diverse personality types and a variety of internal and external community members as well as vendors. Candidate must be highly detail oriented and organized, possess excellent communication skills, and enjoy multitasking. Candidate must be a highly motivated, responsible individual with a strong capacity to work independently, handle a fast paced work environment with poise and maintain a friendly, professional demeanor at all times. ​

  • Experience with Excel required
  • Experience with CRMs, CMSs, and Mailchimp required
  • Experience with Adobe CS and Squarespace a plus

COMPENSATION

Salary range $35,000-$45,000 per annum, commensurate with experience.
