Jr. Operations + Creative Assistant

The Felt+Fat  leadership and creative team seeks a multi-faceted administrator to ensure the day to day operations of the business are executed efficiently. This role includes office management, administrative and creative, customer service and fulfillment support. An individual will be successful in this role if they’re organized, possess the ability to prioritize and communicate professionally and effectively. A background in the arts and office management is preferred but not required. 

 

This is an excellent opportunity for a self-starter with a hands-on mindset, who is highly organized, can work independently as well as collaboratively, and enjoys a fast-paced environment in a fun, teamwork-oriented company. There is considerable growth opportunity for the right candidate. This position is based in Philadelphia, PA with the flexibility to be remote as needed. This position reports to the Manager of Brand Strategy + Partnerships.

Felt+Fat is a ceramic design studio and manufacturer that’s been operating out of Philadelphia since 2013. Our team is dedicated to excellence in domestic manufacturing. Responsibilities:

  • Administrative:
    • Schedules all external-facing meetings as requested 
    • Books all company related travel and developing all itineraries for site visits, vendor fairs, and events 
    • Supports with ad-hoc research and project related tasks 
    • Supports staffing + implementation of company events 
    • Reports facility needs to building manager and ensures issues are resolved promptly with little to no supervision 

 

  • Office Management + Customer Service: 
    • Maintains organization in shared office spaces. Examples include clearing the break table at the end of each day, managing the fridge clean out schedule, plants are watered, ensuring office supplies as applicable are stocked. If an important client meeting is taking place, ensures coffee is made, tea is available, guests are met at the building entrance if necessary etc.
    • Sales support, including managing invoices, facilitating payment to vendors and collecting 
    • Manages support@email, responds to inquiries and escalates concerns appropriately
    • Process claims
    • Data entry for production
    • Support fulfillment as needed   
    • Acts as the Felt+Fat building liaison with Maken studios / Shift Capital to inform the building management team when supplies are needed or to report on any building-related issues 

 

  • Creative, Social + Website: 
    • Assists with photography, editing and content delivery across the website + social platforms 
    • Scrubs social for user generated content and makes recommendations for re-sharing or thematically incorporating into weekly content
    • Supports development for context photography and shopping lists
    • Updates products on the website, SKU creation and backend website work 

 

  • Other duties as assigned

 

Qualifications

  • 1 year of work experience
  • Ability to use excel, microsoft suite, google suite 
  • Excellent verbal and written communication skills
  • Ability to manage time effectively and prioritize with little oversight 
  • Ability to manage data entry systemsAbility to lift 25 lbs 
  • Ability to monitor email on weekends and escalate to management as needed 

 

Nice but not required: 

  • College degree
  • Familiarity with netsuite, salesforce and salesloft
  • Familiarity with adobe suite

 

Expectation + Compensation

  • 40 hours p. week
  • Commensurate with experience
