About Our Organization:

Studio Incamminati, School for Contemporary Realist Art, is a higher education institution offering traditional art training in painting, drawing, and sculpture for today’s artists and creatives. Located in the Bok Building in South Philadelphia, Studio Incamminati (SI) offers workshops, night classes, and drop-in classes as well as educational partnerships with colleges, high schools, hospitals, senior communities, and organizations serving individuals experiencing housing insecurity. SI is a 501(c)(3) nonprofit accredited by the National Association of Schools of Art and Design.

Position Overview:

Studio Incamminati, School for Contemporary Realist Art, seeks a proactive, detail-oriented, and personable Office Administrator to support our vibrant arts community. As a first point of contact for students, faculty, visiting artists, and guests, you will contribute to fostering a collaborative and creative environment. This position is key to ensuring the efficient operation of the school and supporting academic and programmatic initiatives.

Principle Duties:

  • Greet and assist students, faculty, visiting artists, and guests; address inquiries related to classes, programs, exhibitions, and events.
  • Provide administrative support to the faculty and staff, including scheduling, correspondence, and meeting preparation.
  • Maintain and update student and academic records, both physical and digital; assist with registration and add/drop periods.
  • Assist in class registration processes, scheduling, and faculty availability.
  • Prepare and distribute program communications, newsletters, and event information to the campus community.
  • Order and organize office, studio, and art materials; track supplies inventory for staff and students.
  • Assist with setup and logistics for meetings, exhibitions, and special events, including ordering supplies as needed.
  • Update databases, update school website content, and digitize/organize files and forms.
  • Assist with basic bookkeeping, process payments/invoices, and track budget-related documentation (as needed).
  • Perform other administrative duties as assigned to ensure smooth school operations.

Qualifications:

  • High proficiency in Microsoft Office Suite; familiarity with Mac OS and graphic design software (e.g., Adobe Photoshop, Canva) is a plus.
  • Strong verbal and written communication skills; comfortable working with diverse populations.
  • Highly organized, adaptable, and able to manage multiple priorities in a dynamic environment.
  • Collaborative team player with a professional, positive attitude.
  • Appreciation for, and comfort within, a creative academic community.

Education & Experience:

  • Associate degree required; bachelor’s or related arts/administration degree preferred.
  • Minimum 2 years of administrative experience, preferably in an educational or arts environment.
