Box Office Associate

BalletX is seeking a friendly, proactive, and customer-focused Box Office Associate for a seasonal, hourly position to support our upcoming events. The Box Office Associate will be responsible for providing exceptional service and managing ticket sales for BalletX performances. This role will work closely with the Patron Services Manager to ensure smooth box office operations both before and during events.

Key duties include assisting patrons, processing ticket transactions, and providing information on performance details, seating, and showtimes. The ideal candidate will have excellent communication skills, a welcoming demeanor, and the ability to manage customer inquiries and transactions in a fast-paced environment, both in-person and remotely.

This is a seasonal position, with specific responsibilities for the following upcoming events:

20th Anniversary Retrospective:

Remote Call Answering:

October 6-10; October 13-17; October 20-24; October 27-28; November 4

In-Person Box Office Services at The Suzanne Roberts Theatre, Philadelphia:

October 29 – November 2; November 5-9

 

BalletX in Bryn Mawr:

Remote Call Answering:

November 17-21; November 24-26; December 1-5; December 8-11

In-Person Box Office Services at Bryn Mawr College, Bryn Mawr:

December 12-14

 

Compensation:

$18/hour

 

Schedule:

Remote Call Answering: Monday to Friday, 10:00am-4:00pm

In-Person Box Office Services: 12:00pm-7:30pm

 

Training:

All hires will be required to complete on-site training prior to the start of their assigned events. Training will cover ticketing software, customer service expectations, and operational procedures to ensure smooth event execution.

 

Key Responsibilities:

  • Customer Service: Provide an exceptional patron experience by greeting and assisting customers with ticket inquiries, purchases, and event-related questions in person, over the phone, and via email.
  • Ticket Sales: Process ticket transactions for BalletX events using PatronManager, ensuring accurate transactions and timely service.
  • Event Information: Offer detailed information about performance schedules, seating options, and other event-related queries to patrons.
  • Cash Handling: Accurately process payments (cash, credit/debit, gift certificates), maintain financial accuracy, and provide proper change.
  • Reservations & Will Call: Manage ticket reservations, including pre-purchased and will call tickets, ensuring smooth pick-up and distribution.
  • Customer Interaction: Ensure a welcoming environment for all patrons, addressing and resolving customer concerns or complaints professionally and promptly. Escalate unresolved issues to management as needed.
  • Patron Engagement & Retention: Foster long-term relationships with patrons by creating positive, memorable experiences. Encourage repeat attendance through excellent service and personalized interactions.
  • Respectful Communication: Always treat patrons with respect and empathy, ensuring that every patron feels valued, heard, and supported. Support patrons calmly and professionally to maintain a positive environment.
  • Proactive Problem Solving: Anticipate and address patron, ensuring smooth operations and a seamless experience for all attendees.
  • Database Support: Assist with maintaining and updating BalletX's PatronManager database, ensuring data accuracy and integrity.

 

Qualifications:

  • Previous customer service experience required.
  • Proven ability to manage challenging situations and difficult patrons with tact, diplomacy, and professionalism.
  • Experience in fostering long-term customer relationships and driving loyalty through exceptional service.
  • Active listening skills with the ability to respond effectively to ensure patron satisfaction and retention.
  • Strong team collaborator, able to work with colleagues and supervisors to resolve customer service issues efficiently.
  • Excellent verbal and written communication skills, with the ability to engage a diverse range of patrons.
  • Proficient in computer systems, point-of-sale (POS) software, and basic office applications (Microsoft Office or similar).
  • High attention to detail and accuracy in transaction processing and ticketing operations.
  • Ability to multitask effectively in a fast-paced, high-energy environment.
  • Strong interpersonal, organizational, and problem-solving abilities.
  • Ability to interact professionally and with tact when working with donors, patrons, and volunteers.
  • Proactive in identifying potential issues and following up to ensure resolution.
  • Flexibility to work some evening and weekend hours based on event scheduling.
