Manager of Special Projects

The Museum seeks a highly organized, proactive, detail-oriented, and digitally fluent Manager of Special Projects to support the Chief Strategy and Growth Officer (CSGO) in advancing cross-museum initiatives and strategic priorities. This role will help coordinate and implement projects that strengthen institutional alignment, enhance visitor and revenue-driving experiences, and advance organizational growth.

The successful candidate will be a strong communicator and collaborator with demonstrated project management experience, ideally in a museum, cultural institution, or visitor-facing organization. They should be a collaborative project manager with strong digital and analytical skills who is comfortable navigating across departments, managing multiple workstreams, and ensuring timely, high-quality execution.

Key Responsibilities

Project Management:

Assist the CSGO with planning, execution, and delivery of strategic projects that support the museum’s growth and mission objectives.

Develop and maintain project timelines, budgets, and work plans in collaboration with internal departments and external partners.

Ensure clear communication, alignment, and coordination across project teams.

Strategic Support:

Support the CSGO in advancing key strategic initiatives, including digital transformation, audience growth, and revenue diversification.

Conduct research, synthesize findings, and prepare presentations or reports to inform strategic decision-making.

Help translate strategic goals into actionable work plans.

Maintain confidentiality and handle sensitive information with professionalism and discretion.

Cross-Museum Collaboration:

Facilitate coordination between departments (e.g., marketing, visitor experience, operations, and retail) to ensure smooth execution of initiatives.

Identify process improvements and support implementation of new systems or workflows.

Operational and Digital Integration:

Leverage digital tools to improve efficiency and communication.

Assist with technology-related projects, such as CRM (HubSpot) integrations, data tracking, or experience design.

Partner with frontline, catering, and retail teams to pilot new initiatives that enhance visitor engagement and drive revenue.

Qualifications

Bachelor’s degree in business, museum studies, communications, or a related field; advanced degree a plus.

2-3+ years of experience managing projects, ideally within museums, cultural institutions, or retail/visitor-facing organizations.

Demonstrated ability to coordinate multiple stakeholders and meet deadlines in a fast-paced environment.

Strong analytical, communication, and problem-solving skills.

Proficiency in project management and collaboration tools (ideally with Asana specifically).

Experience with HubSpot or similar CRM platforms preferred.

Comfortable with data-driven decision-making and using digital tools to enhance organizational efficiency.

A high degree of accuracy and attention to detail is essential.

Team-oriented, adaptable, and motivated by both big-picture strategy and hands-on implementation.
