Circulation Supervisor

Position:              Circulation Supervisor

Reports to:          Library Director

Regular Semester Hours: Monday: 12 PM – 10 PM, Tuesday-Thursday: 2 PM – 10 PM and Friday: 11 AM – 5 PM

Purpose:              To oversee all operations at the circulation desk, supervise and train student workers, and provide customer service to students and faculty.

Requirements:

  • Bachelor’s degree in an art related major.
  • Exceptional communication and customer service skills.
  • Proficiency in Mac and PC operating systems, and Microsoft Office.
  • Two years of library work experience.
  • One year of supervisory experience.

Responsibilities:

1.  Circulation Desk

  • Supervise all transactions (e.g., circulation of materials, collecting fines, etc.).
  • Search for missing and claims returned books.
  • Check for books that need mending.
  • Monitor patron use of Macs. Troubleshoots Macs, printer, and copiers, submitting helpdesk tickets as needed.
  • Distribute mail to staff members.

2.  Circulating Book Collection Maintenance

  • Ensure that books are in call number order prior to being shelved.
  • Supervise the shelving of books, shifting and shelf reading.
  • Oversee student workers in ensuring all books are straight and edged, and that any improperly shelved items are scanned for count use.
  • Check all books for accuracy after they are processed.

3.  Student Workers

  • Hire and train students in all areas of circulation desk duties and shelving.
  • Assign and oversee student worker’s assignments.
  • Maintain the weekly schedule, verify that students report for their assigned hours, and track work study allocations.
  • Sign student time sheets and deliver to the Business Office.

4.  Periodicals

  • Check-in and processes all periodicals daily.  Shelve current periodicals, and process and file past issues.
  • Send monthly claims to EBSCO for periodicals that have not been received.
  • Alert Director to issues with periodical subscription and claiming.
  • Maintain and updates Periodical Holdings list each semester.
  • Maintain bound periodical/journals storage space.

5.  Reserves

  • Send out reserves reminder and form email to all faculty each semester.
  • Place items in the Reserves Module in Millennium Circulation.
  • Process and/or oversee student workers in processing reserve materials.
  • Alert Director to personal copies that need to be purchased for the library.
  • Remove reserve materials at the end of each semester and email faculty statistics of their reserve materials usage.

6.  Orders & Bills

  • With input from staff, creates list of needed office supplies from Office Depot and DEMCO. With approval from Director, orders supplies.
  • Check orders for accuracy upon arrival.
  • Forward bills to Director with appropriate budget code, create purchase orders as necessary, record bills on acquisitions spreadsheet, and file bills.

7.  Statistics

  • Compiles database, circulation, and gate count statistics.
  • Assists in compilation of additional statistics as requested.
  •  Sends Director annual statistics for review at the end of the fiscal year.

8.  Outreach

  • Post to social media accounts on a weekly basis, and contribute library related posts to the Moore.edu blog each semester.
  • Create monthly displays of library materials and maintain New Books shelf.
  • Assist with and/or oversee events in the library.

9.  Other duties as assigned.
