Position Overview:

Philadelphia Contemporary seeks a Development Assistant who will advance the mission and support the vision of the organization by providing excellent and meticulous development and administrative support. The Development Assistant plays an important role in meeting the goals for cultivation and stewardship of donors and prospects.  This full-time staff person reports to the Director of External Relations (DoER).

Specific Responsibilities: 

Administration

  • Responsible for administrative aspects of development including donor research, data entry, and acknowledgement/receipting process.
  • Drafting correspondence to donors and prospects
  • Compiling, analyzing and summarizing donor giving, including reports in preparation for solicitation, stewardship and outreach strategies executed Executive Director and the leadership team.
  • Helping to prepare for leadership solicitation visits by preparing visit packets, reviewing lists for potential meetings, and preparing briefing documents with internally and externally available information on prospects. 
  • Helping to draft stewardship collateral for donor groups

 

Database Management

  • Serve as database expert and manage CRM system for PC and ensure it is being used to maximum efficiency. Key functions include entering donations into Salesforce and sending acknowledgements and tax receipts to donors.
  • Working with the leadership team to help ensure contact records are updated, donations are tracked, and donors are acknowledged.
  • Compiling, analyzing and summarizing donor giving, including reports in preparation for solicitation, stewardship and outreach strategies executed Executive Director and the leadership team.
  • Work closely with other PC colleagues to ensure that Development activities are recorded and reported accurately.

 

Grants

  • Manage the grants calendar. 
  • Provide administrative support to the grant writer and DoER for all grant applications.
  • Maintain and ensure accuracy of grant funder records in CRM.

 

Donor Stewardship

  • Work with leadership team to draft correspondence to donors and prospects
  • Respond to donor requests

 

​Events

  • Assist with the planning, logistics, and coordination of our signature annual fundraiser event, PC NOW.
  • Communicate and organize meeting materials for the the co-chairs of the annual fundraiser, including updates on the on fundraising plans and amount raised to date.
  • Organize prospect donor lists with fundraiser co-chairs and leadership team to ensure communication and outreach are well coordinated.  
  • Track event registration and act as a first point of contact for support.
  • Maintain guest lists, gather and prepare registration materials and other duties as assigned for fundraising events
  • Lead the efforts in organizing, packaging and distributing physical and digital fundraiser invitations, letters and cards
  • Maintain guest lists and track the fundraiser event registration.
  • Help organize small donor events and dinners with artists
  • Work with DoER and Artistic Director to coordinate artist studio visits for donors and prospects.

 

Qualifications:

  • Three to five years of experience or equivalent combination of education and experience. Project management and/or administrative experience in a work environment required, with experience in a nonprofit setting preferred.
  • Development Assistant will/have/be
    • Proactively partner with the leadership team to ensure efficient and successful solicitations, accurate data maintenance, and effective donor stewardship. 
    • A goal-oriented team player, possess a positive attitude, thrive in a fast-paced and creative environment, and remain flexible when completing daily tasks. 
    • Demonstrate experience taking direction from multiple voices and working collaboratively with colleagues in various roles. 
    • Strong interpersonal and communication skills
    • Keen attention to detail, exceptional organizational ability, proficiency in the use of Salesforce or similar type of CRMs, 
    • Strong customer service orientation and ability to interact with constituents of all backgrounds.
    • Strong writing and copy editing skills.
  • Potential to work evening/weekend events as needed. 
  • The ideal candidate will have a curiosity for learning best practices in fundraising strategy, annual giving, membership programs, donor stewardship.

 

Education Level: 
Three to five years of experience or equivalent combination of education and experience.
