Part-time Office Manager

Headlong

Headlong is a Philadelphia-based activator of performance research, of cultural inquiry, and of overlapping layers of communities. Founded in 1993, we create audience-engaging art, support and sponsor artists, and offer a 14-week residency and performance training program at our studios on South Broad Street.

Position Summary:

Headlong seeks an Office Manager to support the administrative aspects of the organization. This position assists the Artistic Director with daily functions, supports the team by contributing to organization-wide projects, and plays an important role in maintaining the building which includes the office, studios, and apartment. The Office Manager reports to the Artistic Director and will work closely with all staff, actively participating in brainstorming content and bringing ideas to discussions.

This position is offered on a part-time basis with an annual salary of $20,000, with an expected average workload of 15 hours per week. 

This position is primarily remote and flexible but will require some solo onsite work. (While Headlong is currently working toward greater accessibility for all, applicants should note that our building has multiple sets of internal stairs between the office and the restrooms.)

 

Responsibilities include:

  • Manage day-to-day office functions and calendars
  • Data entry and light bookkeeping (paying bills, writing checks, deposits, etc.)
  • Communicate with Board/committees, Incubated Artists, HPI fellows, and stakeholders in the community 
  • Prepare documents for meetings, take and distribute minutes 
  • Draft emails, letters, mailings, assist in miscellaneous administrative tasks as needed
  • Coordinate building maintenance and repairs (order supplies/furniture, schedule pick up/deliveries, etc.)
  • Collaborate with staff to create and share social media content 

 

Qualifications: 

  • 2+ years’ experience in office management, project management, or similar role 
  • Proficient in MS Office, QuickBooks, G-Suite, and can learn and adapt to various software and programs 
  • You are comfortable working in a casual, fluid, DIY environment and can work autonomously and collaboratively
  • You are self-motivated, organized, attentive to details, and able to manage time and effectively function without close supervision
  • You have a natural orientation towards being proactive, solutions-focused, and helpful
