Production Manager
Theatre Exile’s Production Manager position supports the company’s theatrical productions and events, its rental program regarding technical and production matters, and oversees the repair and maintenance of our facility. The PM reports to the Producing Artistic Director and works closely with the General Manager and Operations Consultant.
Responsibilities for Artistic Programs and Events
• The PM is responsible for overseeing and managing the execution of all production and technical needs for Theatre Exile’s productions and events including: our subscription series, Studio X-hibition New Play Development, education program presentations, and fundraising and related programming events. Duties include:
• Oversee all aspects of production execution from design through strike, including build, load-in/load-out, light hang, sound installation, costume fittings and maintenance, and venue preparation; participate in design reviews to assess feasibility, budget, and scheduling
• Develop, manage, and enforce production schedules and scenic timelines, including detailed production calendars covering rehearsals, performances, technical rehearsals, and work calls to ensure efficiency and balanced workloads
• Supervise and hire production crew and in-house staff, with a commitment to diversity and inclusion; coordinate with outside vendors (including Philadelphia Scenic Works and other partners) to ensure work is completed on schedule and to organizational standards
• Monitor rehearsals, technical processes, and performances by reviewing reports and ensuring timely execution of scenic and technical notes; actively participate in key production activities including load-in and tech
• Lead production communication by organizing and facilitating regular production meetings, maintaining contact sheets, and disseminating timely updates to production teams, staff, leadership, and external partners
• Collaborate with the Producing Artistic Director, General Manager, and consultants to support contract development, production planning, and budgeting, including capital grant applications
• Manage production budgets and expenses, including sourcing, purchasing, or renting materials and equipment, and identifying cost-effective and sustainable solutions
• Maintain comprehensive production documentation and archives, including design files (set, lighting, sound), technical riders, staff information, and production records
• Oversee theater operations and facilities, including scheduling maintenance, maintaining a safe work environment, enforcing safety protocols, and restoring spaces to standard configurations after each production
• Manage inventory, storage, and organization of all theatrical equipment, materials, props, and costumes, ensuring accurate tracking and upkeep
• Provide production planning and staffing support for special events and fundraising activities; attend and participate in staff meetings and perform other related duties as needed
Rental Program and Facility Responsibilities
• The PM is responsible for assisting management with technical and scheduling aspects of Theatre Exile’s Rental Program and overseeing management, repair and maintenance of Theatre Exile’s facility. Duties include:
• Serve as onsite liaison for rental clients, conducting facility tours, assessing technical needs and feasibility, and providing guidance and resources for production support
• Coordinate with the Operations Consultant and General Manager to determine technical requirements, develop quotes, and finalize rental terms, fees, and costs for clients requiring production support
• Arrange and manage technical staffing for rentals, including hiring or recommending crew as requested and ensuring appropriate Theatre Exile representation is scheduled for all rental activities
• Maintain and update the organization’s global calendar with all rental and production activity occurring in the facility
• Oversee facility readiness and restoration by establishing and maintaining standard theater configurations (including rep plot, riser setup, equipment inventory, and storage) following productions and rentals
• Collaborate with leadership to support the growth and strategic development of the rental program
• Monitor facility conditions, assisting with maintenance planning and repairs to major systems (e.g., HVAC, elevator), and manage the upkeep and assessment of equipment needs
This is a full time, year-round, exempt position with benefits including employer paid medical plan.
