DAC has served the Delaware and Chester counties and Delaware State communities for over 40 years by fostering programs that provide possibilities and opportunities through the exploration of multi-disciplinary arts. Darlington has robust on-site programs, services the community-at-large with special events and programs through our Creative Community Partnerships, and provides free programming through our Arts Education Outreach Program. Darlington Arts Center (DAC) seeks a Registration Associate who will be responsible for providing customer service to current and potential new students, registering students for lessons and classes, coordinating schedules with our music teachers and providing support for onsite programs located at 977 Shavertown Road, Garnet Valley, PA 19060.
Our Academic School Year is from September 2024-June 2025 and our summer program is from June 2025- August 2025.
We are looking to fulfill the position immediately.
The Registration Associate will work closely with the Executive Director and Program Manager to assist in programmatic and general operations for onsite programming. This position directly reports to the Executive Director. This candidate should be someone who is collaborative, creative, positive, friendly demeanor, and highly organized, as this position will require adaptability, strong writing and communication skills, and good time management. The hours for the position is 3pm to 9pm Monday-Friday. Some weekends are required but are scheduled in advance. This is an entry to mid-level position.
Key Responsibilities
The Registration Associate act as the primary contact for members and potential members for communication regarding classes, lessons, and events at Darlington Arts Center. Act as primary contact for all teaching artists regarding schedules and timekeeping. Communicate information on schedule changes, programmatic adjustments and procedural matters to administrative staff.
Process registrations for students all onsite activities at Darlington, providing records and protocols to members and appropriate schedules for teaching artists. Assist students and parents/guardians with the registration process and guarantee completion of necessary forms. Routinely audit attendance for all classes and lessons, reporting to the Executive Director with any discrepancies. Maintain web-based and paper files and records, ensuring all personal, financial, and attendance records are kept current, accurate, and appropriately confidential.
Routinely audits office supply needs and provides inventory audit to Program Manager on a Monthly basis. Works directly with Program Manager to promote classes, private lessons, and activities of Darlington Arts Center. Responsible for marketing Darlington Arts Center activities, programs, and brand via social media and monthly newsletter, works with entire team on highlighting programs and exciting news about Darlington. Works closely with the team on creative assets needed to market programmatic, brand, and special activities.
Responsible for recruiting and the retention of returning students to Darlington. Darlington Arts Centers features events on a monthly basis during the academic year for our community. This position will prepare programs, organize and attend Student and Faculty Music Recitals, as well as assist and attend other events as needed. Works closely with the Executive Director on processing the AGAPE and ATHENA Scholarships. Responsible for tracking and maintaining refunds/withdrawal credits for the Executive Director. Responsible for end/start of year process (closing our teaching artists roll books, ensuring make-lessons are completed and credits are reported). Works closely with the Controller and Executive Director in this end/start of year process.
While responsibilities are defined for this role, Darlington’s administrative team is extremely collaborative. As we expect from other members of the administration, this role should assist with other functions to effectively operate the organization as needed.

Required Experience:
Associate or Bachelors Degree in communications, marketing, education, art, or related field; or equivalent experience
1-3 years of relevant experience in registration, administration, etc. Preferably with experience at a non-profit organization or educational institution.
Experience in Canva and Content Manager Systems (CMS) for social media, such as Canva, Sprout Social, Hootsuite, etc.
Must have or be willing to acquire PA State Clearances (Child Abuse, FBI Fingerprints, Criminal Background Check) and completed Mandated Reporter training (Certification Required).
Driver’s license and access to a reliable vehicle.
Preferred Skills:
Teaching experience in music, art, dance, or drama
Marketing/Design experience
Proficiency in Google Suite, Microsoft Office, and CRM systems
Compensation:
This position is a part-time with expected hours of 30 per week. The hours are for this position is 3 pm to 9pm. The salary for this position is $18 an hour, with three PTO days.
