POSITION SUMMARY

The Staff Accountant is responsible for maintaining financial procedures and financial compliance
through preparation of the Museum’s financial reports and statements. Provides detailed support for accounts payable, accounts receivable, payroll, cash analysis and financial statement analysis including all reconciliation activities.

ESSENTIAL RESPONSIBILITIES

Accounting:

  • Provide support to the Finance Department in all day-to-day accounting functions including but not limited to journal entry preparation; account analysis; credit card processing and account reconciliation, bank reconciliations and accounts payable.

Payroll:

  • Distribute pay checks (if any).
  • Distribute annual w-2’s and 1095’s.
  • Assist as needed in any payroll reporting functions.

Accounts Payable:

  • Enter accounts payable invoices, bank drafts and ACH payments in Financial Edge.
  • Reconcile, maintain, and update the current A/P module accordingly.
  • Enter and reconcile all credit card/amazon activity on a weekly basis.
  • Assist Senior Director, Finance in evaluating cash needs and preparation of check runs.

Accounts Receivable:

  • Record all incoming checks and credit payments.
  • Reconcile, maintain, and update the current A/R module accordingly.

Cashier Related Duties:

  • Manage petty cash transactions including reconciliation.
  • Maintain change fund (cash bags) for cashiers and distribute as needed.
  • Assist in the weekly reconciliation of cash in safe to Altru.

Financial Review and Report Preparation:

  • Review financial statements for accuracy and legal compliance.
  • Prepare and file tax returns.
  • Prepare monthly balance sheet account analysis/reconciliations.
  • Organize and update financial records.
  • Recommend ways to reduce costs and enhance revenue.
  • Perform monthly bank reconciliations.
  • Prepare documentation for external auditors.

MINIMUM QUALIFICATIONS

  • Bachelor’s Degree in accounting or finance or equivalent work experience required.
  • Minimum of 3-5 years of experience performing accounting duties.
  • Demonstrate experience in problem analysis and resolution.
  • Experience using Microsoft Office; ADP; Blackbaud; Financial Edge; or other non-profit accounting software.
  • Proficient in Excel.
  • Comfortable with working in environments of cultural diversity, equity, and inclusion.
  • Comfortable training others on protocols and systems.
  • Excellent time management skills.
  • Ability to work under pressure, multi-task, and maintain confidentiality.
  • Willingness to sign a confidentiality statement.

  • Must have PA Act 153 clearances (PA criminal history, FBI fingerprints, and PA Child Abuse) completed prior to hire.
