The Manager, Data & Analytics leads management of PTM data systems throughout the Museum. They are accountable to the highest level of confidentiality. Responsible for ALTRU database as it relates to all departments, including admissions/ticketing, membership, fundraising, events, workshops, classes, revenue tracking and financial reconciliation. Serves as manager/leader giving guidance to all departments as they utilize databases. Develops and maintains quality controls and continuity, establishes processes and sets standards of use and protocols for all users. Analyzes data and makes recommendations based on insights and earned revenue goals for the Museum. 

ESSENTIAL RESPONSIBILITIES 

  • Museum-wide data and analytics responsibilities: 
  • Serve as primary resource overseeing all database entries for Admissions, Membership, Development, Museum Learning, Finance, and Executive teams. This position is highly collaborative, working across Museum departments with cross-functional teams. This position has a critical role in managing, analyzing, and improving the database environment. 
  • Design queries and customized reports providing insight into data requests for the executive team and other staff as needed.  
  • On-board new staff and conduct ongoing training for database protocols and procedures.   
  • In coordination with the IT department, manage database software subscriptions and stay current on all system updates assuming overall responsibility for the efficient operation of the database.  

Admissions/Group Sales: 

  • Responsible for overseeing the accuracy of ticketing and membership information within the Altru database and providing ticketing, group sales, field trip, and membership reports, analysis and drawing conclusions and putting forth recommendations. 
  • Merchant Services/POS: Understanding credit card procedures and policies required. 
  • Assist with Museum events including ticketing system checks and assisting with guest entry as needed. 

Development:  

  • Responsible for overseeing, entering, and maintaining up-to-date prospect and donor information including entering new constituents and gift records; updating existing records; and performing database clean up and fundraising analysis on an ongoing basis.  
  • Lead gift processing by maintaining pledge records and acknowledgment systems for all contributions to include regular pledge, acknowledgement, and gift reports.  
  • Assist department with special events including entry of tickets, raffles and donations into the database, as well as onsite support as needed 
  • Responsible for all donation forms and ensuring proper integration and display of the forms. 
  • Conduct donor research as needed. 

Marketing:  

  • Lead coding, implementation, and tracking of all ticket, membership webforms, donations, and giveaways.  
  • Prepare cohesive revenue and expense data and analyze, draw conclusions, and make recommendations. 
  • Distribute monthly, quarterly, and annual attendance reports. 
  • Identify trends and provide industry insights in competitive environments.  
  • Build queries and provide audience segment management for outbound communications. 

Museum Learning:  

  • Responsible for overseeing data entry and training Museum Learning staff on procedures and protocols for entering data in terms of attendance at special programs and other projects.  
  • Responsible for developing queries, analysis, and reports for Museum Learning. 

Finance:  

  • Prepare FYE reporting and analysis; weekly, monthly, and quarterly reconciliation with Finance Department and prepare monthly development and membership reports to be used for analysis, projections and presentations. 
  • Develop integrated revenue & expense analyses, projections, reports and presentations; correspond with financial administration regarding gift entry and processing, gift restrictions, etc.,  
  • Assist Finance Department as needed with annual audit and Federal 990. 

MINIMUM QUALIFICATIONS 

  • Bachelor’s degree – Field of study: Accounting, Business Administration, Economics, Statistics, Finance, or a related field. 
  • 3-5 years of experience in analyzing and managing data; working with database systems and able to implement training programs related to database system; preferred experiences with donor or fundraising databases.  
  • Must have knowledge of Blackbaud products and Power BI. 
  • Expertise in Office Suite and Financial Software and other CRM systems a plus. 
  • Demonstrated proficiency and experience in database systems for non-profit organizations. 
  • Must have strong analysis and reasoning skills; examine data to grasp issues, draw conclusions, and solve problems.  
  • Strong business acumen with an understanding of business operations, financial implications, strategic decision-making, and the ability to identify and capitalize on opportunities for growth and profitability.   
  • Ability to break down complex information into component parts, sort and group data and see themes in related information while maintaining confidentiality.  
  • Demonstrated proficiency in using generative AI tools (e.g., ChatGPT, Copilot) for data summarization and leveraging AI to derive actionable insights. 
  • Demonstrated ability to communicate financial and statistical results. 
  • Ability to manage multiple, complex priorities within demanding timeframes.

  • Must have PA Act 153 clearances (PA criminal history, FBI fingerprints, and PA Child Abuse) completed prior to hire.
